What Cinco does
Cinco Learning helps hotels turn their procedures into short learning resources and deliver them to staff. The hotel decides which people and procedures to add and who can administer each property.
Information processed
We process hotel and administrator details, staff names and contact details supplied by the hotel, language preferences, assignments, progress, completion records and feedback. Source documents, extracted text, generated resources and translations are processed when these features are used. Authentication uses passwords or staff PINs and invitation links. Do not put guest records, payment details, medical information or passwords in training sources.
Why this information is used
This information supports account access, resource creation, delivery, progress reporting, answering support requests and preventing unauthorized use. Ask Cinco matches questions to available training screens. It does not create new hotel policy.
Service providers and AI
Cinco uses Vercel for hosting, Supabase for authentication, database and file storage, Google Gemini for AI processing, and Resend for contact-form email delivery. Depending on the feature, Gemini receives source text or documents, training text, image instructions, reference images or questions with relevant training excerpts. Review your source before submitting it; remove personal and confidential information during the pilot. Provider processing and retention depend on the configured service and applicable provider terms.
Access and media
Hotel records are restricted by account and property permissions. Authorized Cinco operators can access data for administration and support. Generated illustrations and clips are delivered through authenticated access checks. Published media follows access to its resource; unsaved generated media is available to its author for up to 24 hours. Previously downloaded copies cannot be recalled. Do not include personal or confidential information in pilot sources.
Browser storage
Authentication uses browser cookies. Cinco also stores interface preferences and a local copy of learning state, including pending saves, in the browser. Use a personal browser profile where possible and sign out on shared devices. Clearing site data can remove changes that have not reached the server. Hosting and authentication providers process technical request information needed to operate their services.
Retention and requests
Hotel records remain in the service until removed through an authorized process. Ask your hotel administrator or pilot contact to request access, correction, export or deletion. We verify the requester and scope before acting, because an account may belong to several hotels. Deleting a hotel is not the same as deleting every account, shared image, provider log or backup. The response to a deletion request identifies any remaining data and the reason it is retained.
Changes and questions
This notice is updated when the pilot or its data practices change. Contact the person coordinating your Cinco pilot for privacy requests and questions.
